EazyCoach terms of service
Version 2 · Last updated 1 November 2026
These terms are a contract between you, the coach ("you"), and Simon Joseph, trading as EazyCoach, 103 Fleetham Gardens, Reading, RG6 4BZ, United Kingdom ("EazyCoach", "we", "us"). You agree to them, and to our data-processing terms, when you create your workspace. If you sign up on behalf of a business, you confirm you can bind it to these terms.
1. What EazyCoach is
EazyCoach is software for online fitness coaches. It lets you onboard clients, build training, nutrition, roadmap and protocol plans, run check-ins, message clients, take payments through your own Stripe account, and use optional AI features that draft content for you to review. Your clients use a client app under your brand.
EazyCoach is a software tool only. We are not a coaching, medical, nutrition or health service, and we don't provide advice to you or your clients.
2. Your account
- You must be 18 or over and give accurate details.
- Keep your sign-in secure. You're responsible for activity in your account.
- One account is for one coaching business. Don't share it outside your business.
3. Free trial, plans and fees
- New workspaces get a 14-day free trial unless we say otherwise at sign-up.
- After the trial, your plan's fee is charged in advance, monthly or yearly, until you cancel. Current plans:
| Plan | Clients | AI credits / month | Monthly | Yearly |
|---|---|---|---|---|
| Starter | up to 20 | 400 | £25 / $30 | £250 / $300 |
| Pro | up to 50 | 1,000 | £45 / $55 | £450 / $550 |
| Unlimited | unlimited | 2,000 | £55 / $70 | £550 / $700 |
- We aren't VAT-registered, so no VAT is added to these prices. If that changes, we'll tell you at least 30 days before VAT is added.
- Payments are taken by Stripe. If a payment fails, we may pause access to the coach app until it's paid. Your data stays in place while paused.
- We may change prices with at least 30 days' notice. A change applies from your next renewal after the notice period.
- Demo clients don't count towards your client limit.
- Referrals: if you sign up through another coach's referral link, your first month is free (30 days, monthly or yearly plan) instead of the normal trial, and that coach sees your workspace name and whether you're subscribed, nothing else. If we've given you a referral link, you earn 20% of every subscription payment a coach who signs up through it makes, for the life of that subscription: on what they actually paid, after any discount and excluding tax, never on the free month or a failed or refunded payment. We pay it monthly by bank transfer. You keep earning if you cancel your own subscription; if your workspace is deleted, commission already earned is still paid and new commission stops.
4. Cancelling
- Cancel any time from Billing. Your plan runs to the end of the period you've paid for and isn't renewed. We don't refund part-periods, except where the law requires it.
- After cancellation, see section 12 for what happens to your data.
5. AI features and credits
- AI features draft content (plans, check-in feedback, template changes) from your own written methodology and the data in your workspace. They stay off until you've written that methodology.
- AI output is a draft. It can be wrong or incomplete. You must review it, and you are responsible for anything you send to or set for a client. Nothing the AI drafts reaches a client unless you send it.
- The AI doesn't create substance protocols. You enter those yourself.
- Your plan includes a monthly AI credit allowance. Unused credits don't carry over. When credits run out, AI features pause until the next period. The rest of the app keeps working.
- Content is processed by our AI provider to produce drafts, as described in our privacy notice.
6. Payments from your clients
If you connect your own Stripe account, your clients pay you directly through Stripe. Stripe is your payment provider and its terms apply between you and Stripe. EazyCoach takes no cut of your client payments. You're responsible for your own prices, refunds, taxes, invoices and consumer-law obligations to your clients.
7. Your content and your clients' data
- You own the content you put into EazyCoach (programmes, meal plans, templates, methodology, messages, branding) and your clients' data. You give us a licence to host, process and display it only to run the service for you.
- For your clients' personal data, you are the controller and we are your processor. Our data-processing terms form part of these terms.
- You must have the right to upload everything you upload, including client photos and videos.
8. Your responsibilities as a coach
8.1 You are solely responsible for your coaching. That includes all advice, programmes, training plans, nutrition and calorie targets, cardio, supplement and other protocols — including any substances such as performance-enhancing drugs, peptides or medication-like compounds — that you recommend to, set for, or record against any client, and every decision you make about a client, whether or not an AI feature drafted any part of it.
8.2 You are solely responsible for legal compliance in your own country and in each of your clients' countries. That covers professional, qualification and insurance requirements, health, medicines and controlled-substance laws, consumer, advertising and data-protection law.
8.3 You are solely responsible for client informed consent: getting and recording each client's informed consent to your coaching and to any protocol you set, and a parent or guardian's consent where the law requires it. That includes explicit consent, or another lawful condition, for the health data you collect.
8.4 EazyCoach provides software only. We don't review, approve, verify, monitor or endorse coaching content, protocols or client data in any workspace. Nothing in EazyCoach is medical, health, nutrition or legal advice. Features for recording protocols are neutral record-keeping tools, not a recommendation or endorsement of any protocol or substance.
8.5 You'll tell clients to get medical advice where appropriate, and you won't use EazyCoach to diagnose or treat any medical condition.
9. Acceptable use
You won't use EazyCoach to:
- break the law, or help anyone else to;
- upload content you don't have the right to, or that is unlawful, abusive or infringing;
- harass or spam anyone, including through messages or the group chat;
- try to access another workspace, test our security without permission, overload, scrape or reverse-engineer the service, or get around plan limits or AI credit limits;
- resell or white-label the service without our written agreement.
10. Our intellectual property
The EazyCoach software, design, starter templates and libraries remain ours or our licensors'. You may use starter templates and libraries within your workspace and adapt them for your clients. You may not extract them for use outside EazyCoach.
11. Availability and changes to the service
We work to keep EazyCoach available and secure, but don't guarantee it will be uninterrupted or error-free. We may change, add or remove features. If we remove a feature that's central to your plan, we'll give reasonable notice and you may cancel with a pro-rata refund of any prepaid fees.
12. Suspension, termination and your data
- We may suspend or close an account that seriously or repeatedly breaks these terms, or doesn't pay, after notice where reasonable. In urgent cases (security, legal risk, harm to others) we may act first and tell you straight after.
- You can export a client's data, or delete a client entirely, from the app at any time.
- When your account closes, you can ask for an export of your workspace data within 30 days. We then delete it as set out in our data-processing terms, apart from what we must keep by law.
13. Confidentiality
Each of us will keep the other's non-public information confidential and use it only for this agreement, except where the law requires disclosure.
14. Liability
14.1 Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that can't be limited by law.
14.2 We aren't liable for your coaching — advice, programmes or protocols — or for any outcome for a client, including any harm arising from a protocol or substance, whether or not an AI feature drafted any part of the content.
14.3 We aren't liable for loss of profit, revenue, business, goodwill or data (except as set out in the data-processing terms), or for indirect or consequential loss.
14.4 Our total liability under or in connection with these terms in any 12 months is limited to the greater of the fees you paid us in the 12 months before the claim and £100.
14.5 Your indemnity. You'll compensate us for claims, losses and reasonable costs from any third party (including your clients or a regulator) arising from your coaching, your content, the protocols you set, or your breach of section 8 or applicable law.
15. Changes to these terms
We may update these terms. For material changes we'll give at least 30 days' notice by email or in the app, and ask you to accept the new version. If you don't agree, you can cancel before they take effect.
16. General
- These terms, the data-processing terms and the privacy notice are the whole agreement between us about EazyCoach.
- If part of these terms is unenforceable, the rest still applies.
- You may not transfer this agreement without our consent. We may transfer it to a successor business with notice.
- These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
